This policy explains what information PocketPower collects, how it is used, who may access it, and how patients can request access, correction, or deletion.

1. What information we collect

We collect information you provide when registering, completing assessments, submitting medical intake forms, using daily check-ins, booking consultations, making payments, and communicating with the PocketPower team.

This may include your name, email address, phone number, date of birth, programme pathway, assessment results, intake responses, RCI results, workbook reflections, check-ins, booking details, payment status, clinical notes, and information required for GP review.

2. Health and clinical information

Because PocketPower is a clinical wellness programme, some information you provide may relate to your health, substance use, mental health, risk history, medication, and recovery support needs.

This information is used only for programme delivery, clinical review, patient support, safety monitoring, GP consultation preparation, and related administrative purposes.

3. How we use your information

We use your information to create and manage your account, guide your onboarding flow, provide your dashboard, process payments, support consultation bookings, generate assessment outputs, support clinical review, and communicate important programme updates.

Information provided when registering and using PocketPower may also be used for educational and research purposes, including programme improvement, clinical education, service quality review, and outcomes analysis.

Where information is used for broader education, research, analysis, or reporting, it should be anonymised or aggregated where appropriate so it is not intended to identify you personally.

4. Who can see your information

Your information may be visible to authorised PocketPower staff, assigned or reviewing GPs, clinicians, and technical administrators where access is needed to provide, support, secure, or maintain the service.

Patients do not see other patients' information. We do not sell your personal or health information.

5. Third-party services

PocketPower uses trusted third-party services for hosting, authentication, database storage, payment processing, email, booking, and video consultation support.

These providers process information only as needed for the service they provide. Examples may include payment gateways, booking platforms, email providers, hosting providers, and secure database services.

6. Payments and booking data

Payment information is processed by the payment provider. PocketPower stores payment status, transaction references, and related administrative records, but does not intentionally store full card details.

Booking information may include consultation time, booking status, meeting link, assigned host or GP, and cancellation or rescheduling data.

7. Security

We use reasonable technical and organisational safeguards to protect personal and health information, including access controls, secure authentication, and restricted role-based visibility.

No digital system can be guaranteed to be completely secure. You should protect your login details and notify PocketPower if you believe your account has been accessed without permission.

8. Retention

We keep information for as long as needed to provide the programme, maintain clinical and administrative records, meet legal or operational requirements, resolve disputes, and support patient safety.

Where appropriate, information may be deleted, anonymised, or archived when it is no longer required.

9. Your rights

You may request access to your personal information, ask for incorrect information to be corrected, request deletion where legally and clinically appropriate, or ask questions about how your information is used.

Some clinical, payment, safety, or legal records may need to be retained even after an account deletion request.

10. Consent and optional research use

By registering, you acknowledge that your information will be processed for programme delivery and may be used for educational and research purposes as described in this policy.

Where a separate optional research consent is offered, that consent is separate from the processing required to provide the programme and does not affect access to care.

11. Updates to this policy

We may update this privacy policy as the platform, clinical workflow, or legal requirements change. The latest version published on the website applies from the date shown.
